Implementation & campus setup guide
MeridiaCare AI is organized around campuses — each physical community or region you operate. Before staff go live, an administrator configures campus structure, billing templates, and shift assignments. This guide walks through a typical implementation from first login to go-live.
Before you begin
- Sign in with an account that has administrator access (`admin.read` permission).
- Use the campus selector in the top navigation to choose the campus you are configuring. All campus admin screens apply to the active campus only.
- For multi-campus operators, complete one campus as a template, then clone configuration to additional sites (see Cross-campus config clone).
Recommended setup workflow
- Campus profile — name, address, timezone, and operational settings
- Communities & units — buildings, neighborhoods, and room/unit inventory
- Provider types — organization-wide clinical roles used in assignments
- Shift assignments — day, evening, and overnight shift templates
- Billing templates — rate schedules and care packages (or clone from a pilot campus)
- Staff & access — user accounts and role assignments per campus
- Validation — walk through Today, eMAR, and billing with pilot users
Campus profile
Open Admin → Campus (`/admin/campus`) to edit the active campus record.
Configure:
- Legal and display name
- Address and contact information
- Default timezone (affects shift boundaries and report date ranges)
- Campus-specific operational flags
Changes save immediately to the active campus. Switch campuses before editing a different site.
Communities and units
Structure your physical layout so census, assignments, and room charges map correctly.
Communities
Admin → Campus → Communities (`/admin/campus/communities`)
Communities represent wings, buildings, or memory-care neighborhoods within a campus. Each community can have its own activity settings and staff assignments.
Units (rooms)
Admin → Campus → Units (`/admin/campus/units`)
Units are individual rooms or apartments. Link each unit to a community so move-in, rent charges, and census reports stay accurate.
Tip: Import or bulk-add units during implementation if you are migrating from another system. See the data migration guide for CSV templates.
Provider types
Admin → System → Provider types (`/admin/system/provider-types`)
Provider types define clinical roles (RN, LPN, caregiver, therapist) used across the organization. These are organization-wide — not campus-specific — but affect shift assignments and clinical workflows on every campus.
Shift assignments
Admin → Campus → Assignments (`/admin/campus/shift-assignments`)
MeridiaCare uses shift templates with three standard assignments:
- Day
- Evening
- Overnight
If no templates exist, defaults are seeded automatically. Customize start/end times and staffing rules to match your community's schedule.
Shift assignments drive Today task routing and staffing reports.
Cross-campus config clone
When rolling out a second or third campus, you do not need to rebuild billing from scratch.
On Edit campus, use Clone configuration to copy from a source campus you can access into the active campus:
- Rate schedules
- Care package templates (rate schedule IDs are remapped automatically)
- Billing service catalog
This is ideal after your pilot campus is validated and you want consistent pricing across a portfolio.
Activity settings (stub)
Admin → Campus → Activities (`/admin/campus/activities`)
Activity program defaults per campus. This area is under active development; configure what is available today and revisit as new activity modules ship.
Go-live checklist
- [ ] Campus profile complete with correct timezone
- [ ] All communities and units entered (or imported)
- [ ] Shift templates match actual schedules
- [ ] Billing rate schedules and care packages configured or cloned
- [ ] Pilot users can sign in and see the correct campus
- [ ] Today task list loads for caregivers on test units
- [ ] Sample invoice generates correctly in billing
